Job Position: Office Administrator (Berlin)

Location: Berlin (outside East London)
Salary: R18 000 per month commensurate with experience and qualification with benefits once permanent

Qualifications / Requirements:
• Matric certificate essential
• National Diploma / Degree in HR and / or extensive HR experience
• Own reliable transport essential
• Candidate to ideally reside in King Williamstown / East London area or is willing to relocate to Berlin
• Computer literate – MS Word and Excel

Key Performance Areas:
• Report directly to Plant Manager
• Human resources functions:

  • Print and distribute internal adverts
  • Arrange interviews for management
  • Ensure engagement and termination documentation is completed and submitted
  • Forward certain HR related documentation to PE (ex. warnings, sick cert, etc)
    • Reception duties
    • Wage Administration:
  • Manage and control clocking systems in conjunction with Accsys and Uniclox
  • Deductions e.g provident funds, loans garnishee, funeral covers, Union fees
  • Attendance registers
  • Check and enter wage sheet on payroll system
  • Capture overtime and anomalies
  • Follow up on queries
  • Weekly manual casual pay-outs
  • Ensure creditors are paid
    • Account payments
    • Absenteeism reports
    • Placing of orders
    • Ensure filing systems / archiving is carried out
    • Opening of mail/post
    • Follow up on outstanding payments of suppliers
    • First Aid duties – issue and replenishment of supplies
    • Monthly overtime report
    • Administration and record keeping:
  • Placing orders / purchasing of office stationery
  • Ordering of stock in conjunction with sub-ordinate
  • Management of petty cash
  • Ensure filing and archiving is carried out in a systematic order, with special attention to record retention requirements
    • Credit control
    • Ordering of consumables
    • Safety, Health and Environmental (SHE) – PPE and wellness:
  • Arrange training for forklift, first aid, fire fighter, safety representatives
  • Arrange medicals – pre and annual
  • Take and distribute safety meeting minutes
  • Ensure daily safety audits and checklist are done daily
  • Capture IOD on Compsol
  • Scribe at all meetings as and when required – Management Meetings: Act as scribe, should Production Manager or Plant Manger request
    • Assist Plant Manager and Production Manager when required:
  • Discipline: Counselling’s to be conducted once disciplinary procedure has been carried out i.e. once warnings have been issued, to ensure progressive and consistency in disciplinary procedure
  • Ensure staff are healthy and maintain a safe working environment in conjunction with Health and Safety Policy
  • Present any training and “transfer of knowledge” activities to colleagues and reporting head/s
  • Enquiries: Act as scribe at enquiries held at Plant; these to be forwarded to HR Officer in Port Elizabeth, for approval
