Mission: The mission of the Office Administrator is to lead and support the project assistant staff in providing office services to operations management thereby producing safe, efficient, and profitable projects.
Key Responsibilities:
Maintains project assistant staff work schedule and prioritizes workload and work flow
Organizes coverage for scheduled and unscheduled project assistant absences
Monitors and approves requests for overtime and other related expenses
Periodically reviews and assesses project assistant assignments, workload and teams to ensure appropriate coverage
Participates in the recruitment process for project assistant staff
Works on special projects and assignments as assigned
Leads the team to provide excellent customer service to vendors, customers (internal and external), and field employees
Ensures reporting is completed both timely and accurately; invoice approvals, collections, field termination slips, payroll, etc.
Perform basic market research tasks as requested on assigned companies and/or decision makers to aid in the development of future business
Provides back-up assistance to project assistant staff
Requirements:
High School Diploma.
3 years’ experience in supervisory role.
Excellent customer service and problem-solving skills in a professional environment.
Good communication, writing and organizational skills.
Must have strong computer skills. Experience with MS Office, Spectrum preferred. Intermediate MS Word & Excel.
Proficient in basic computations such as add, subtract, multiple, divide, etc.
