Sectional Title Property Portfolio Assistant – Pretoria Central (Arcadia)

Salary: R10 000 – R15 000 (Negotiable, depending one experience)

To start immediately or as soon as possible in first week of April 2022 – URGENT!

One of our large Sectional Title Property Management clients based in Arcadia, are urgently looking for a Sectional Title Portfolio Assistant to start immediately/ASAP. MUST HAVE SECTIONAL TITLE EXPERIENCE – NON-NEGOTIABLE. NO JOB HOPPERS!!!!!

Requirements:
Matric
Bilingual (Afrikaans & English, read, write, speak)
Driver’s License and own transport required
Must know Pastel or VIP Payroll

Duties will include, but are not limited to:
INSURANCE
Obtaining quotes for placing insurance

MEETINGS
Timely sending of notices and minutes of meetings.
Telephone confirmation of meetings with client at least 2 days prior to meeting.
Attendance of Trustee, Directors, Budgets and meetings as requested by the Manager when required.

FOLLOW-UP TO MEETINGS
Request quotations as assigned by Portfolio Manager and follow-up to completion.
Execution of less important assignments as requested by the Portfolio Manager.
Check with Portfolio Manager for timely acquisition of final minutes and other documentation resulting from distribution meetings to either the owners or the Trustees.
Get minutes of notebooks ready for pasting minutes and relevant documents.
Send out levy letters and schedules.

LOCAL AUTHORITY
Personal liaison with City Council for installment arrangements or sorting of City Council accounts as assigned from time to time by the Portfolio Manager. (Only in cases where the Portfolio Manager is not available and / or an alternative arrangement has been made with the Manager).

AUDIT
Request quotations from various Auditors as requested by the Portfolio Manager from time to time.

FINANCIAL STATEMENTS, RULES OF CONDUCT, ETC.
Sending financial statements, rules of conduct, etc. to attorneys and other bodies as requested from time to time.
Become familiar with the duties of the credit controllers as well as the Portfolio Manager for assistance in the absence of such staff.
Full control of credit controllers’ collection of fees before meetings and after meetings – follow-up of assignments.

GENERAL
Obtaining approval for payments of invoices from Trustees and keeping a payment register.
Send proof of payment.
Typing and sending correspondence.
Updating building information.
Collecting quotes.
Type and review petty cash claims.
Compile levy reports for Portfolio Manager.
Sending documents by e-mail, mail as required by the Portfolio Manager.
Journals must be sent to management on a regular basis.
Cost recovery list needs to be updated daily, it is sent to management on the last day of the month for processing.
Sending of month end letters.
Any further assignments as requested by Head Portfolio Manager.
