Administrative Assistant position based in Germiston North for a Manufacturing / Engineering company
Working Hours:
Mon – Thursday – 7:30 – 3:30pm
Friday – 7:30 – 12:30

Package around R 10 000 CTC monthly

Job Responsibilities
• • Generating of Invoices
• • Screening of Telephone calls – Switchboard responsibilities
• • Assist with customer collections when required to
• • Loading Invoices and Statements onto QuickBooks
• • Scanning and saving of documents
• • Filing of documents
• • Assisting Sales team with printing documents and general admin
• • Maintaining documents for auditing purposes and archiving
• • Managing stationery and Office supplies

Job Description
Filing of Documents
• • Electronic and Manual filing of, but not limited to delivery notes / Job cards / Orders and Certificates / Delivery notes / Creditors / Statements and Invoices
• • All documents need to be filed electronically and manually and need to be categorized and stored for auditing and archiving purposes

QuickBooks
• • Capturing of Invoices, Quotes and Statements

Managing of Test Certificates
• • Ensure that test certificates received are correct – need to ensure that the test certificates are correct for the material received
• • If Certificates are not correct – contact suppliers and request correct documentation

General Office Assistance
• • Screening of phone Calls
• • Assisting sales from time to time with deliveries coming in and customers collecting
• • Ensuring stock levels of office and stationary supplies

Job Requirements
• • Proficiency in QuickBooks is advantageous
• • Computer Literacy Microsoft Office
• • Ability to Work in a team
• • Attention to Detail
• • Time Management
• • Ability to work under pressure
• • Communication / Interpersonal Skills
