SANCCOB, a leading marine conservation non-profit organisation, seeks to employ a Receptionist at the SANCCOB Cape Town centre, situated in Table View, Cape Town. The Receptionist will report to the Accountant of SANCCOB. Applications invited with letter of motivation.

Responsibilities
Manage the switchboard and screen and direct calls in a professional manner
Manage the reception area so that it is welcoming, neat and professional at all times
Manage secretarial duties including the welcoming of guests, preparing for meetings and taking minutes of meetings, if required
Maintain and replenish office stock such as stationery and general supplies – such as tea, coffee and bathroom supplies
Maintain and oversee stationery ordering and stock control
Manage call-outs and requests for maintenance of the company printer
Ensure an up to date and professionally drafted administration folder is available at all times
Ensure an up to date and professionally drafted First Responder’s folder is available at all times
Ensure staff contact list is kept up to date
Ensure that the “how to” manual is kept up to date as well as the extension list on the switchboard
Ensure that all staff sign the HR Policy file and other internal policy documents when required
Assist the Procurement and Inventory Officer with receiving of deliveries, stock takes, inventory variance reports and the maintenance of a preferred vendor master file/list
Assist the Procurement and Inventory Officer with the placing of orders, price checks, obtaining discounts and quotes
Assist the Procurement and Inventory Officer to ensure that all invoices and supporting documents comply with SANCCOB’s financial Standard Operating Procedures and are received on time
Assist the Procurement and Inventory Officer to ensure that company vehicles are maintained, and the usage is controlled according to a pre-determined budget
Assist the Procurement and Inventory Officer to ensure that all volunteers and interns meet SANCCOB’s driving requirements
Weekly banking and post office trips
Coordinate volunteer drivers for collections
Conduct weekly vehicle inspections and ensure that all company vehicles are well maintained
Ensure Gqeberha (Eastern Cape branch) personnel and penguin colony personnel submit vehicle checks for your review and management as above
Assist with basic bookkeeping duties, such as receiving supplier statements and petty cash admin/control, including drafting of excel templates for import into the accounting system
Assist with shop sales
Assist with administration, filing, fundraising and ad-hoc duties
Any other tasks necessary for the conduct of the employer’s business, as the employer may from time to time direct

Requirements:
Matric qualification and a tertiary qualification will be an added advantage
Minimum 5 years of working experience

Ability to manage the front desk, receiving visitors on-site and telephonic enquiries in a professional and pleasant manner, and represent the organisation with high standard
Passion for seabirds and/or marine conservation, with a mission-driven work ethic and a positive attitude
Ability to work collaboratively within a small team but also to execute work independently and take the initiative when required
Emotional intelligence, including strong interpersonal skills and self-awareness
Deadline driven
Strong organisational skills and the ability to multitask
Computer skills (Microsoft Office Suite)
Strong written and verbal communication skills
A strong command of English as a working language is essential
Valid Code 8 drivers license
South African citizen or valid work permit/residency
