We are looking for a Receptionist/Front-office Administrative Assistant to join our team. We are looking for a hands-on, highly energetic, vibrant team player who can lead and orchestrate all necessary support functions and administrative responsibilities as needed to maintain an impeccable office environment.

Responsibilities include:
Welcoming all visitors and registering them at reception with professionalism.
The Front Office is the area of the hotel where guests form their first and last impressions of the hotel – this makes it really important for the Front Office Assistant to work hard to create a pleasant experience for guests to ensure their return.
Making sure that the Front Office – the place where guests first come into contact with the hotel and staff – runs smoothly and effectively.
Relaying instructions from management to other staff
Training the new Front Office staff
Ensuring the front desk provides a professional and friendly service for guests
Dealing with guests
Arranging extra staff when needed
Typing presentation materials and other various documents
Coordinating shipping and receiving, including courier services and providing status report of such arrangement when necessary
Orchestrating the management of office equipment and vendor relations, arranging repair and servicing when necessary
Organizing internal and external events
Responsible for answering external and internal calls and relaying accurate messages
Managing and maintaining meeting rooms bookings.
Managing and ordering Stationery & Supplies as well as shop stock
Perform all other duties as required
Must be able to work without constant supervision.
Must be firm, fair and polite to guests and guest requests.

Experience:
3 years administrative experience preferred. Expertise and proven proficiency in Microsoft Word, PowerPoint, and Excel are required. Ability to speak and understand isiZulu and Afrikaans is an advantage.

Reporting
The Front Office Assistant reports to the General Manager.

Qualifications
A Front Office Assistant needs a good education and a 2 Year Higher Certificate in Hospitality Management, or similar qualification as well as sufficient industry experience.

Critical skills include:
Diplomacy and the ability to communicate clearly
Firm leadership skills
The ability to multitask, prioritise and manage time
The ability to perform under pressure
Must be highly motivated
Must be able to work with guests and be understanding to their requests.

Salary
Market related – based on qualifications and experience.
This is a live in position.
