RESPONSIBILITIES
Planning support to the Campus Dean in managing and communicating daily action points and deadlines in regards to who needs to do the work, what they need to and do, and by when it needs to be done.
Provide organizational support to the Campus Dean by setting up, communicating, minuting and archiving the relationship between the Campus Dean and Registry, support staff, lecturing staff, Programme Coordinators, Institutional Senate members, fee payers, clients, suppliers, visitors, and CEO with the aim of reaching the Institutional Goal and Objectives.
Supporting the Campus Dean with staffing-related administration that supports the campus training, enrichment, onboarding, recruitment, selection, acquiring, training, and appraisal of employees.
Providing administrative support to the Campus Dean in the process of directing and motivating employee productivity and goal setting.
Providing the Campus Dean administrative support in the coordination of work done by staff in various departments.
Providing the Campus Dean administrative support in the control function of management to determine if the company and campus goals have been met.
Scheduling & minuting meetings with the Campus Dean & Registrar:
To prepare agenda’s and facilitate readiness for the Campus Dean to attend all meetings.
Scheduling weekly Campus Management Meetings (CMM) with all Programme Coordinators and Head of Departments with the Campus Dean.
Doing the weekly minutes, communication and archiving of the weekly CMM’s.
Minuting, communicating and archiving the weekly student representative body meeting with CLVA and Student Affairs Officer.
Setting up meetings with the various lecturing and support staff in regards to their CVP meetings.
Collect, collate, manage, and present data to help create the termly Campus Senate Meeting.
Collect, collate, manage, and present data to help the Campus Dean & Registrar to communicate and finalise information and action points from the Quarterly Institutional Senate Meeting.
Collect daily Registy data to submit to Campus Dean.
Provide enrollment support to the Campus Dean.
Assisting the Campus Dean by assisting the Programm Coordinators in document administration for statutory requirements.
Support the Campus Dean with the administration of payment requisitions and cost reports in the Curriculum, Ad Hoc, CLVA, and Operational budget expenses.
The organization of general correspondence and departmental filling and following up on pending matters.
Manage and administrate overall interschool/program and internal departmental communication with regards to administration, planning, and logistics, and to cover for another registry member when on leave or away from the office.
To help maintain the Registry online archive and file all other related communication between the Campus Dean and that of the Marketing Department, Operations Department, Academic Value Assurance Administrative departments.
Record keeping and updating of all communication meetings.
Assist in the documentation of all campus staff enrichment sessions.
Track the process of the development of quarterly campus timetables with the registry (in particular the Registrar and Learning Coordinator) and venue schedules and communicate them to the Campus Dean.
Assist in identified special AFDA functions such as Open Days, Graduation Ceremony, Marketing related functions, Festivals and specialised Ceremonies such as Staff and Student Awards. Consult with students – when requested or identified as needed by the Campus Dean.
