OVERVIEW
The administrative assistant plays a crucial role in ensuring the smooth operation of the office by providing efficient administrative support to various teams. This position requires organizational skills, attention to detail, and the ability to handle multiple tasks simultaneously. The administrative assistant will contribute to the overall effectiveness and productivity of the organization by managing tasks and fostering a positive work environment.
DUTIESAND RESPONSIBILITIES
Insolvency policies and procedures administrative duties.
Provide general administrative support: Assist with phone calls, emails, inquiries, direct clients, schedule meetings, and correspondence.
Maintain and organize office records: Ensure proper filing, retrieval, and storage of paperwork.
Coordinate office logistics: Ensure office equipment is well-maintained.
Assist in scheduling and coordinating meetings: Prepare meeting agendas, take minutes, and distribute relevant documentation.
Perform data entry and manage databases: Accurately input data into various systems, records, and generate reports as required.
Assist with financial and accounting tasks.
Provide administrative assistance to various departments: Collaborate and communicate with different teams to ensure efficient operations.
QUALIFICATIONS
High school diploma or equivalent; additional certifications or courses in office administration would be an advantage.
Preferably 3 years insolvency administration experience.
Proven experience as an administrative assistant or in a similar role.
Proficient in using office software such as Microsoft Office (Word, Excel) and Google.
Excellent verbal and written communication skills.
Strong organizational skills and the ability to prioritize tasks.
Ability to maintain confidentiality and handle sensitive information.
Attention to detail and accuracy.
Ability to work independently as well as in a team environment.
Strong problem-solving skills.
Flexibility to adapt to changing priorities and deadlines.

Reporting of new estates
Typing
Follow up with the Master
Follow up on queries
General administrative duties
Communication: Incoming and outgoing, emails, and written correspondence. In Afrikaans and English.
Correspondence to all role players
Arrange meetings and appointments
Obtain claims
Reports
Filing
Financial administration
Legal compliance: Ensure the process adheres to legal requirements and regulations.
